Furthermore, high-end speech recognition software is still expensive, and the reports generated by the software need to be reviewed by a knowledgeable transcriptionist to ensure accuracy.

Outsourcing medical transcription has become a popular practice throughout the U.S., as it helps healthcare providers cut costs. Small facilities usually employ a freelance transcriptionist. Larger ones, however, look for a reliable transcription service provider, as they need a quick turnaround and accurate reports. Whether you are a medical transcriptionist working from home or you run a company that offers transcription services, you have to know what an employer looks for in order to grow your client base. Here are a few things that will ensure your success in the transcription industry. 

Good Recommendations

When looking to hire an MT or transcription company, healthcare providers usually listen to recommendations. They inquire with their peers about the quality of the work, the accuracy of the transcriptions and the rates the company/MT require. In order to benefit from good recommendations, make sure that your current clients are happy. Prove that you are committed to accuracy without compromising speed, provide them with quality reports and never miss a deadline.

A good idea would be to ask some of your clients for referrals. If they are happy with your work, they should be more than happy to recommend your services to other healthcare providers, as well. You could also ask them to write a testimonial for your website – this is a great way to increase your credibility and exposure. Think about it this way: if a potential client stumbles upon your site, they will be more inclined to contact you if your client list is impressive.


Healthcare facilities are generally looking for experienced and well-trained medical transcriptionists. You should have a practical knowledge of medical language, anatomy, disease processes, laboratory medicine, pharmacology, and so on. Good MTs also have above-average knowledge of English grammar and punctuation. If you are your own boss, you need serious training in these areas in order to provide your clients with good transcriptions.

On the other hand, if you are running a medical transcription company, make sure you gather a highly experienced team of medical transcriptionists, familiar with various specialties, accents and dialects. This will give you an edge when pitching to a potential client and it will help you stand out from the crowd.   

Trial Period

Healthcare facilities want to make sure that you are the right fit for them before making a commitment. Offering them a two or three day period when they can use your services for free shows that you are confident in your team’s capabilities. After the trial period is over, they will be able to assess if they like the way your company operates or not.

On the other hand, if you work on your own, a two or three day period is kind of a stretch, especially when you have work to do for other clients, as well. Instead, offering a single sample report is usually enough.   


If you run a company that offers medical transcription services, this shouldn’t be a problem; your employees can work in shifts to make sure the job is done.

When you work on your own, however, this may be tricky. Keeping to your agreed-upon schedule is one thing, but you also have to be available for extra-work during high volume periods. When you pitch your services, let the potential client know that you will have them cover at all times, and that you will give them sufficient notice in case you won’t be able to take on an assignment.

Avoid making excuses for yourself. You are a professional, so your personal problems shouldn’t affect your work. The employer won’t care if you are going through a divorce or don’t feel particularly well one day – you have to be able to work during stressful times. Additionally, accept which ever work comes your way, even if we’re talking about an unfamiliar specialty. View it as a challenge and a learning opportunity.

As long as you provide your clients with timely and accurate transcription, you will build a reputation as a reliable contractor. Consequently, more healthcare facilities will be interested in using your services. Client satisfaction should be your main concern, whether you are a freelance medical transcriptionist or you run a company that offers transcription services.
